KEY DUTIES / RESPONSIBILITIES
1. Plan and organise the annual schedule of all meetings this includes any Special Meetings and Workshops.
2. Develop and maintain an overall annual corporate calendar of agenda items, taking account of corporate governance and timescales as well as overall functions of the Strategic Planning and Performance Group, in order to ensure that these are programmed to meet essential timescales.
3. Develop a programme of workshops, visits and other activities to enable the Strategic Planning and Performance Group to discharge their duties and have a full understanding of the work of the Strategic Planning and Performance Group and the communities interests and partners it works with and ensure that all necessary arrangements are made to facilitate this.
4. Provision of high quality support to employees and staff.
5. Responsible for the servicing of all Group Heads and Committee meetings of the Strategic Planning and Performance Group .
6. Provision of advice at each meeting on adherence to the Conflict of Interest and Codes of Conduct and Accountability and, where appropriate, draw issues of concern to the attention of the Committee Chair. The post-holder will take the appropriate follow-up action within the required timescales to ensure that all officers tasked with action provide the necessary reports at subsequent meetings.
7. Supervise the recording and formal approval of minutes of all Strategic Planning and Performance Group Committees and responsible for the minutes of the Senior Management Team.
8. Responsible for the logistics associated with the organisation of all Committee public meetings of the Strategic Planning and Performance Group, including arrangements for the handling of controversial public meetings.
9. Act as the key point of contact for the Strategic Planning and Performance Group members and for all enquiries pertaining to the business of the Group
10. Liaise with Corporate Business Managers in Local Offices in regard to arrangements for Committee meetings held in Local Offices/areas.
11. Liaise with the Communications Manager and ensure that Notices, approved Minutes of the Strategic Planning and Performance Group and relevant publications are posted and maintained on the Strategic Planning and Performance Group website.
Essential Criteria
A University Degree or recognised professional qualification or equivalent qualification; AND a minimum of 2 years’ experience in the last 5 years in a role involving staff management, servicing of formal meetings (to include Board/or Board Committee) with Senior staff and advising on Corporate Governance issues.
OR
HND/HNC or equivalent (NQF level 5) and at least 3 years’ experience in a role involving staff management, servicing of formal meetings (to include Board/or Board Committee) with Senior staff and advising on Corporate Governance issues.
OR
Worked for at least 5 years in the last 7 years in a role involving staff management, servicing of formal meetings with Senior staff, including 2 years’ experience servicing formal meetings (to include Board/or Board Committee) and advising on Corporate Governance issues
Have a minimum of 1 years’ experience working with a diverse range of internal and external stakeholders.
Hold a current full driving licence which is valid for use in the UK and have access to a car on appointment. This criteria will be waived in the case of applicants whose disability prohibits driving but who have access to a form of transport approved by the Strategic Planning and Performance Group
Demonstrate contribution to delivering objectives which contribute to organisational performance.
Effective planning and organisation skills with an ability to prioritise own workload.
Effective verbal and written communication skills to meet the needs of the post in full, including minute taking and report writing.
Demonstrate a knowledge and understanding of Corporate Governance requirements.
Demonstrate Business Planning experience Demonstrate Records Management experience
