Band 3 Education Management Administrator
Location: Belfast
Rate: £11.67 p/h
Hours: 37.5 hpw
General Duties
- Provide high quality routine administrative support ensuring the effective operation of systems and procedures within the Department. This includes:
- Act as the first point of contact in respect of telephone, email and face to face enquiries.
- Maintain databases and records for the team’s activities.
- Gather, collate and process documents and information as required.
- Prepare reports, documents and proposals for senior staff within the department.
Attend meetings, take notes / action points as required of the role.
Trainee Professional Development and Events
- Provide administrative support for the organisation and delivery of events/programmes to include:
- Welcome Events
- Educational Excellence Day
- Annual Trainee Research Day
Quality Management
- To assist with the administration and organisation within the company
- This will include:
- Co-ordination of dates for visits and meetings
- Co-ordination of visiting teams
- Arrange travel for external representatives
- Prepare documentation and materials
- Support surveys of employees
- Co-ordinate completion of assessor reports
- Arrange payments for lay representatives and travel expenses for external representatives
Website Development and Social Media
- Provide administrative support for the website and social media platforms. This includes using software to design and create leaflets and flyers for education and training events.
Other General responsibilities
- Support the company and undertake any other duties as directed by the Manager.
- Create and maintain effective links with staff at all levels, internal and external, locally and nationally.
Essential Criteria
Education
1a. 5 GCSE’s (including GCSE English Language and GCSE
Maths, Grades A* – C) OR equivalent qualification to
demonstrate literacy and numeracy OR Higher Qualification
OR
1b. 18 months relevant experience*
2. One year’s experience in the last 3 years of working with
Microsoft Office. This must include excel and word
*Relevant experience is defined as working in an
administrative office environment providing high quality
routine administrative support.
Hold a current full driving licence which is valid for use in the
UK and have access to a car on appointment. This criteria will
be waived in the case of applicants whose disability prohibits
driving but who have access to a form of transport approved
by the Organisation which will permit them to carry out the
duties of the post

Ability to use own initiative and work independently or as
part of a team to ensure that performance targets and
objectives are met
Ability to prioritise work to achieve set deadlines
Effective communication skills, orally, written and
electronically
