Job Title : Band 2 HR Assistant

Location : Armagh

Duration : One year

Rate : 10.42

Hours : 37.5 hpw

KEY DUTIES / RESPONSIBILITIES

1.Provide general administrative duties to include Word processing, photocopying and scanning documents.

2.Undertake filing duties for various teams within the Employee Relations Department, assisting with the updating and maintenance of files on the electronic filing system.

3.Answer telephone enquiries professionally and deal with routine queries, take messages and re-direct queries as appropriate.

4.Responsible for incoming and outgoing mail to the Employee Relations Department, sort and distribute mail to the appropriate members of staff.

5.Monitor team shared email inboxes; respond to routine enquiries and forward emails for the attention of the appropriate members of staff.

6.Provide information as required by the Information Governance/ Litigation Department’s, ensuring a record of information provided is recorded electronically.

7.Responsible for the processing and electronic filing of probationary reports ensuring that unsatisfactory reports are brought to the attention of the HR Advisor.

8.Retrieve departmental records including both manual and electronic.

9.Provide reception duties as required – greet, direct and assist all visitors to the department.

10.Assist with the preparation of Case Management files ensuring that all the relevant documents are included and files are appropriately indexed etc.

11.Assist with the maintenance of the Case Management electronic data system.

12.Assist as required with booking rooms for hearings or meetings.

13.Check level of stationery supplies for the department alerting the officer responsible for ordering when re-ordering is required.

14.Assist with the disposal and retention of records in accordance with legislative/ departmental requirements.

15.Distribute and circulate documents/ emails as required.

16.Maintain a high level of confidentiality with regard to information being processed.

Essential Criteria :

1.4 GCSEs at Grades A-C including English Language or equivalent / higher qualification

OR

1 years’ experience in a clerical / administrative role

2.Experience in the use of Microsoft Office products including Word and Excel or equivalent.
