Job Title : Administrative Assistant

Location : Newry

Duration : One month

Rate : 10.42

Hours : 37.5 hpw

Duties and Responsibilities:

1. Provide a comprehensive secretarial, audio typing and word processing service including the drafting and typing of letters, agendas, minutes and reports.

2. The postholder will be providing administrative support to Neighbourhood Services Directorate staff in carrying out their duties.

3. Responsible for establishing and maintaining record keeping systems using databased, spreadsheets etc within the Grounds and Garage Divisions, for example record of grounds and garage divisional overtime, purchase order tracking system, vehicle assets register for complete Council Fleet, Equipment Audit etc.

4.Provide Reception/Switchboard cover as and when required.

5.Ensure all relevant documentation dealt with is appropriately file referenced and filled appropriately.

6.Receive complaints, enquiries and requests for services from various sources and to direct such complaints, enquires and requests via manual and/or computer systems to various sections of the Department.

7.To assist with the development of suitable reporting mechanisms regarding general publication of the Council’s complaints procedures, number and type of complaints etc.

8.Responsible for setting up site meetings and maintaining diary.

9.To assist with the preparation of reports and statistics as may be required within any ‘Best Value’ structure. Carry out research as required to assist in the preparation of reports etc

10.Participate as a team member within the Neighbourhood Services Directorate so as to assist with the implementation of ‘Best Value’ within the Department, as consistent with the Council’s overall interests.

11.The postholder will also be required to assist in other sections of the Neighbourhood Services Directorate as and when required.

12.Undertake a range of clerical duties requiring the use of office machinery, including PC, photocopiers, franking machine, fax machine, switchboard, binder and shredder.

13.Control and maintenance of records with regard to all vehicles/plant and the arrangement of Insurance cover and fuel keys for new vehicles on arrival.

Criteria :

Grade C or above in at least 4 GCSEs or equivalent, one of which must be GCSE English Language or equivalent and one of which must be a GCSE in a numerate subject or equivalent.

AND A minimum of 1 year’s previous experience or related duties in an office environment including diary management, reception, filing, typing of letters etc.

OR In lieu of qualifications, you must have at least 2 years’ relevant experience in an office environment including diary management, reception, filing, typing of letters etc.

OCR Stage II or equivalent in Word Processing; or be able to demonstrate competency in word processing.
